The benefits that are offered by the company for its employees are a very important part of the employment process. Many potential employees base their decision of whether or not to accept an employment position in part on the quality of the benefits offered by the company and expect that once they accept the position, they will receive their employment benefits on time and without a hassle. Managing the company benefits for an entire company can be a daunting task that takes an enormous amount of time to complete without the benefit of HR software.

Many manufacturers have begun to create HR software programs that can assist a company with managing the company’s benefits for each employee. These software programs are designed to organize a large amount of information but companies that only have a few employees to manage benefits for can profit from using the programs as well. In some cases, whether the software program is intended for a large or small business will be listed in the description or the name of the software program.

The number of benefits that the company offers to their employees will generally not affect which type of HR software for benefits management the company purchases. There are several common benefits that most companies offer there employees and several others that are generally offered as additional benefits or perks for the employee’s service throughout the years. Each of these items can be entered into the software program to be tracked for each employee in the company.

One of the best features of the HR software used to manage company benefits is the ability to manage when each employee becomes eligible for each benefit. In some cases, each employee will become eligible for different benefits at different times. For example, at many companies, employees become eligible for health insurance after 6 months of employment with the company, but cannot enter into the companies matching life insurance plan until after they have been employed with the company for a year.

As each employee is hired for the company, their information is placed into a personnel file for the employee and linked to the software program that is used to manage benefits. As the employee’s service anniversaries arise, the software program will alert the user that the employee is now, or will be, eligible for a certain benefit offered by the company. In some cases, the software can also list the paperwork that will need to be filled in by the employee to take advantage of the benefit.

For most types of benefits offered by a company, the employee will have the option of opting out of the benefit. This is very common with health insurance benefits, when the employee may be covered under a spouse’s plan, or other types of insurance that the employee may decide that they do not need at the moment. The employee would need to opt of the benefit in writing and submit the information to their HR department.

HR software used for benefits management has the ability to track which employees have applied for the benefit and which employees had decided to opt out of a certain benefit.

A list of these individuals can be obtained at any time by running a report in the system containing the information that is needed. The reports can generally be customized by employee, department, or type of benefit offered to provide a comprehensive look at the information needed at that time.

HR software used for benefits management can also streamline the process of getting benefits information to the employees that have that benefit. Some timesheet software programs are able to assist in the creation of mailings by providing the names and addresses of each individual that holds the affected benefit. Other software programs use an email based mailing system to get the information to the individuals that need to know it.
