Time And
Attendance Tracking
With HR Software
Tracking the time and attendance of the employees working for the company can be a difficult task for any business. Careful records will need to be kept to ensure that all employees are being paid the correct amount on each paycheck and their earned or taken sick and vacation time is correctly logged. Keeping track of all of this information for each employee can be a daunting assignment, but using HR software to assist in the process can make tracking the time and attendance of employees much easier and more streamlined.
For every employee of the company, great importance is placed on their employment records, including their attendance records, being accurate. Inaccurate information in their files could result in them not being paid the right amount of money on their paychecks, not being able to use all of their earned vacation time, or they could even be disqualified for a raise or promotion. Using HR software to track the employee’s time and attendance can significantly reduce the amount or errors that are made and saved in the employee’s personnel file.
There are a number of different HR software programs that have been created to handle the time and attendance tracking needs of both large and small companies. Some programs have been created specifically for use with larger corporations while some other manufacturers focus on products designed for small businesses and entrepreneurial ventures. Choosing the right type of software for your business needs will not be difficult as many of the programs offer the same types of features and processing capacity.
One of the most important elements of HR software programs that are used for tracking employee time and attendance is the program’s ability to create customized reports for review by HR personnel and department managers. Many of the programs will come with a variety of standard reports that can be printed detailing specific information that has been entered in the program and many of these reports will possess a filtering feature so that only the information that is relevant to the issue will be displayed. Some of these programs also offer the ability to create completely new reports using the information fields that are present in the software program.
Data entry of the employee’s time and attendance into the HR software program is generally done on a routine basis. Each week, the employees of the company will turn in their approved time cards to the HR department so that the information can be entered into the computer system. The information is then entered into the software system by the HR personnel of the company using the electronic forms provided by the software program.
After the information has been entered into the software program, many HR software programs will ask the person entering the information to review the information for accuracy before saving the information into the system. Some of the software programs available today are sensitive to common mistakes that routinely made on the electronic forms and will alert the individual entering the information that an error has been detected when the system finds one of these common issues. The person entering the information would then have the choice of saving the information as is or editing the information before saving the record.
HR software can greatly ease the workload of HR personnel responsible for tracking the time and attendance of the employees of the company. By streamlining the process of entering the information into each employee record and providing a way to identify errors before they are entered into the system, software programs that are designed to assist companies with employee time and attendance tracking are saving these companies a great deal of money in both labor costs and overpayments to employees.
