For companies that have a large number of employees, the amount of paperwork that will need to go into individual HR employee files is massive, often totaling thousands of documents each year. In order to reduce the volume of paperwork created by managing their HR needs, many companies have chosen to purchase HR software products to create electronic records of the HR information that needs to be stored. There are a number of different types of software products on the market and each of these software products have the ability to reduce the amount of physical paperwork needed by a significant amount.

One of the most used types of HR software is personnel management software. Before this type of software became widely used, an employee’s personnel file would be several inches thick with personnel information and would be indistinguishable from the hundreds of other personnel files for the other employees of the company. With personnel management software, most of the employee’s basic information can be stored in a database where it can be easily accessed at any time.

Another benefit to using HR software to reduce the amount of paperwork used by the company is that many processes become much more streamlined because there is a specific way that must be used to enter the information into the software program. Routine information, such as the employee’s name, address, or position within the company will need to be entered much less often and different timesheet software forms can easily be linked to a single employee record. This also makes is much easier to retrieve the employee’s records when needed.

HR software allows employee records to be updated with a couple of keystrokes. Now, instead of having to fill out an entire new form to add the updated information to an individual’s personnel file, the employee’s record can be brought up on the computer screen and edited using the software program. If basic information about the employee has changed, such as their address or phone number, every record within the software system that contains that information will be updated simultaneously.

This allows multiple records within an employee’s file to be update and remain current with much more ease that attempting to find every physical information form in a file that needs to have the information updated. This improves the accuracy of the files and reduces the risks that mistakes will be made with the employee’s file in the future. Whether it is keeping track of the employee’s training records or the number of vacation hours that they have accumulated, the accuracy of the information can have a great impact on the life of the employee and mistakes in the information can be difficult to fix.

Using HR software to reduce the amount of paperwork used in the HR department will also reduce the amount of money spent on routine purchases for the department. The company will need to purchase much less paper, printer ink, copy toner, and file folders, along with numerous other office supplies that are used to organize and store employee files. The money that the company saves in these expenses can be better put to use paying company debts or attracting top talent to the company to secure the future of the company as a competitor in their market.

The paperwork reduction that occurs when a company begins to use HR software is noticeable almost immediately. Suddenly, very little paper is being generated by everyday HR activities and employees find that the amount of time filling out forms and filing paperwork in the appropriate files has dropped dramatically. Employee moral in the HR department may improve because the employees are not longer spending a good part of their day filing routine paperwork and redoing routine employee forms.
