Made Easy
Many businesses find that record keeping is a difficult task, with thousands of pieces of paper being generated each month that need to be incorporated into the company’s records. Businesses that do not have a good plan for record keeping will quickly find themselves buried under an avalanche of papers and forms that they may need to find quickly in the future. Because of this common business need, some software developers have created HR software products that can assist the business with record keeping.
Record keeping with HR software is easier than it may seem. Once the HR personnel are comfortable using the software program for their daily activities, they will be able to do their tasks much more quickly and an automatic electronic record will be created for each entry that is made into the system. These records can be stored within the software program itself or exported to a stand alone database that will store the information indefinitely.
One way that HR software makes record keeping easier is by creating a link between records that is easy to learn and to understand. For example, many HR software programs will assign each employee an employee number for use within the program. Whenever that employee number is placed into an electronic form in the software program, the form is automatically linked to the employee’s electronic record.
This is beneficial in two ways. First, having the form link to the employee’s record automatically reduces the risk that the form will be lost within the system or become attached to the wrong employee’s file. Second, using the employee number as the identifier for the form will reduce the amount of information that the HR personnel will have to type into each electronic form to ensure that it is linked to the correct employee file.
HR software can makes records retrieval simple as well. By having all of the records that are entered about a particular employee linked by the employee number, simply entering the employee number into the correct report will retrieve all of the information entered for that employee into the program. Records can be retrieved covering a specific time period or for the last several years.
Many types of HR software products allow the reports generated by the program to be customized to better fit the needs of the company and the HR personnel using the information. The reports can be customized to only show a specific type of information or the information for a single department within the company. There are many ways that the reports can be customized and the changed report templates can be saved for future use.
Gone are the days of flipping through mounds of paperwork in physical files to find the information about a certain employee that is needed. Information compiled into the software program can be retrieved with the push of a button and edited so that only the important information is viewed. Instead of taking hours to find the correct information on multiple employees, it will now take minutes and can be printed into a physical record directly from the computer.
Choosing the right HR software for the company’s needs is not difficult if the company takes the time to review the product and determine whether the program is capable of doing everything that the company needs it to do. Some software programs are broad based while other programs focus on a very narrow scope of the HR process. By choosing the right HR software to meet the needs of the company, the company will greatly improve its record keeping accuracy and reduce the amount of time spent on record keeping overall.
